Travel Information

This page will provide you with information regarding your travel to and from Reagan International Airport and the CUFI Summit. If you need additional information, please contact CUFI on Campus' Executive Assistant, Laura Villanueva via call or text.

Group Travel

If you are planning to travel with a group please keep reading. If not, please skip to the Before You Leave section. 

As many of our high school students plan to travel with at least one other individual, CUFI High School is requesting you provide the name of the chaperone, the name of another student, or the group you would like to travel with on the required flight form. 

Once you pay the $50 registration fee you will be directed to complete your flight form. CUFI requests that you complete and submit the flight form, even if everyone from your group hasn't completed the required steps.

 

In the Special Request field at the bottom of the form, you need to specify who you would like to travel with. Examples like Grace Community Church, chaperone Ted Schultz, or siblings Martha and Greg Meads. 

If the individual you would like to fly with is part of the CUFI on Campus program, please only list their name as our travel agency is booking all of the CUFI High School and CUFI on Campus flights for the CUFI Summit.

CUFI High School will hold everyone's flight form until all members of the group have completed their flight forms. 

Before

Before you leave

All flights must be booked through CUFI's travel agency, Frosch Travel. Once your flight is booked you will see an email from Frosch and the CUFI on Campus office with your final flight information, including your confirmation numbers for check-in. Once your flight is booked, you only have 24 hours from the time of booking to make any changes or adjustments. After this timeframe, any additional costs to change your flight will be your responsibility. If you have any questions, please get in touch with CUFI on Campus' Executive Assistant, Laura Villanueva.

We recommend that 24 hours before your scheduled take-off time you check in for your flight. You can print out your boarding pass or download a QR code to keep on your phone. Sometimes downloading your airline's app may be the best way so you can get notifications about gate changes and take-off times without having to look up your flight. If you need your flight itinerary to be resent, please get in touch with CUFI on Campus' Executive Assistant, Laura Villanueva.

Once you check in, if you have not done so already, we recommend you research your airline's luggage policy. Reminder, CUFI does not cover the cost of your luggage and additional upgrades. Some airlines charge for checked or even carry-on luggage but thankfully some airlines give you a discount if you pre-pay for your luggage.

Day of Travel Tips: Before you leave home, we recommend you verify you have your government-valid ID for airport security along with your luggage and other personal items. We also strongly recommend you arrive at the airport within two hours of your flight. Once you get to the airport, get on that plane and we will see you in National Harbor, MD! 

Important: If your connecting flight gets canceled, follow these instructions: Go to a gate within your terminal to talk with an agent (Tip: Sometimes an agent further away from your gate has fewer people and you're assisted faster). As you wait to be assisted, call Frosch (see numbers above) to see if they can assist you with the next flight to San Antonio. Once you are rebooked, contact CUFI on Campus' Executive Assistant, Laura Villanueva, via text (see cell number above) and inform her of your new arrival time.

What to do when you land

Because of the gracious donors of Christians United for Israel, an airport shuttle will be provided for CUFI students to the Gaylord Hotel.

 

You will collect your luggage from baggage claim and follow the directions mentioned below. The shuttles will run on a continuous cycle. You do not need to call the hotel or CUFI to arrange a pickup. Wait times may vary based on your time of arrival and local traffic. You may be waiting up to 30 minutes for a pickup bus. Reference the maps below for shuttle pick-up spots.

Once you are on the shuttle, it will be approximately a 10-minute ride to the hotel. Upon arrival at the hotel, you will follow the signage for CUFI on Campus Registration where you will be greeted by CUFI on Campus staff and be directed to where you can store your luggage until registration opens.

Return Back Home

Wednesday is entirely designated for you to make your way back home. We encourage students to check in for their flight 24 hours before taking off in case of schedule changes. There may be alterations or delays on the day of travel. CUFI on Campus works tightly with Frosch Travel and airlines to make sure our students get home safely. We ask that students call Frosch if their flight gets canceled immediately. See emergency numbers below.

Shuttle Information

UPDATED INFORMATION!

CUFI will have representatives in BRIGHT ORANGE shirts on the day of arrival and departure. These individuals will help you get on the correct shuttle.

Shuttles will have white signs in the window with the CUFI seal and the text "Gaylord National Resort" in the window. ALWAYS verify the shuttle's final location before getting on. 

Terminal A (Southwest Airlines)
Once you claim your luggage you will exit out of door 1. You will cross into the middle curve and make your way to the area that is designated for shuttle pick-up. Before getting on any shuttle, make sure the shuttle bus you are boarding is for CUFI. A description of the shuttle will be provided closer to the conference date.

Terminal B (American, United, Delta)
You will exit the terminal based on which luggage claim you pick your luggage up at.


If you are flying United or Delta: You will be picking up your luggage at claims 1-6. Once you retrieve your luggage, you will exit out of door 4 and head straight to the marked hotel shuttle's designated pick-up spot. Before getting on any shuttle, make sure the shuttle bus you are boarding is for CUFI and is dropping off at the Gaylord Hotel. 
 

If you are flying American: You will be picking up your luggage at claims 7-12. Once you retrieve your luggage, you will exit out of door 7 and head straight to the marked hotel shuttle's designated pick-up spot. Before getting on any shuttle, make sure the shuttle bus you are boarding is for CUFI and is dropping off at the Gaylord Hotel.
